“I can't find my download” — what to send an Etsy buyer
Most of these messages aren't about your files at all. They're about where Etsy put the download, and the buyer is looking in the wrong place. Here's how to tell which, and what to say.
Experienced digital sellers describe this message as weather: it arrives a couple of times a month whatever you do, and the review that sometimes follows it is the cost of doing business. It doesn't have to be. Almost every "I can't find my file" has one of five causes, four of them are Etsy's side rather than yours, and each has a one-line fix you can send in the first reply.
Work out which one it is

The message that handles four of the five
You don't need to diagnose before replying. The reply below covers the app, guest checkout, the grey button and ZIPs in one go, and it's written to be pasted straight into an Etsy message. Save it as a saved reply so it takes five seconds.
Keep the app line and the [email protected] line whatever else you change — those two resolve most cases.
When it actually is your side
The fifth cause is the one Etsy's help centre can't fix for you: the file Etsy delivered contains a link, and the link doesn't work for the buyer. A Drive folder still on "Restricted", a Canva link that opens your original instead of a copy, a Dropbox link that demands an account. The tell is that the buyer *did* download something — a PDF — and the problem is what's inside it. About the review
- Reply to the buyer first, publicly second. Etsy's own guidance: a buyer can edit their review within 100 days *"if you haven't responded to the review"* — a public response freezes it. So resolve it in Messages first, and post the public reply only once the buyer has had a fair chance to change it. (For digital items the 100 days runs from the download, not the purchase.)
- Don't ask twice. A buyer who's ignored one polite message will read a second as pressure, and "seller keeps messaging me to change my review" is a worse review than the one you had.
- The public reply is for the next buyer, not this one. "Sorry — Etsy's app doesn't allow digital downloads; I've messaged you the browser link and the files directly" tells every future buyer you're responsive and the product works. Anything defensive does the opposite.
- Etsy won't remove it on request. Their help centre is explicit: a negative review that complies with policy stays, Support can't remove one at a seller's request, and they don't judge whether a buyer's account of the experience is accurate. A review that is *solely* about a third party's actions can qualify — but Etsy's own app isn't a third party. Report it once if you think it breaks a policy; otherwise plan on it staying and let the public reply do the work.
Stopping it before the message
In the listing and the file itself
- Put "Download from a browser, not the Etsy app" in the listing description and in the first line of the file
- Say in the listing that the download link arrives by email from [email protected] for guest orders
- If you deliver a ZIP, say what's inside it and that it needs unzipping
- Name the file so a buyer knows what it is (`wedding-invitation-5x7.pdf`, not `final_v3.pdf`) — Etsy won't let you rename after upload
- If the file contains a link, test that link signed out and on a phone before you upload
Where AccessDrop fits
